We are currently recruiting for:
PART-TIME OFFICE ADMINISTRATOR/RECEPTIONIST
The post holder will be required to work 15 hours per week between the hours of 10 am and 2 pm Monday to Friday. Flexible working will be required. Details of the role are as follows
General Purpose
Perform a wide range of administrative and office support activities for the Trustees to facilitate the efficient operation Bourne Arts and Community Trust.
Main Job Tasks and Responsibilities
- Maintain booking spreadsheet,
- Ensure all clients have their regular rooms
- Take new booking enquiries referring them, where necessary, to the trustees
- Ensuring bookings requirements are met dependant on specification.
- Raising invoices and managing petty cash
- Recording payments in and out on sage instant
- Banking, chasing overdue invoices
- Liaising with the treasurer to produce timely monthly financial figures for trustee meetings
- Liaising with the trust’s accountant in the preparation of the annual report
General Duties
- Answer, screen and transfer inbound phone calls
- Receive and direct visitors and clients showing rooms
- General clerical duties including photocopying, fax and mailing
- Maintain electronic and hard copy filing system
- Retrieve documents from filing system
- Handle requests for information and data
- Resolve administrative problems and inquiries
- Prepare written and verbal responses to routine enquiries
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Open, sort and distribute incoming correspondence
- Maintain office supply inventories
- Coordinate maintenance of office equipment
- Maintaining the staff holiday records.
Plus any other duties to be agreed between the post-holder and the trustees
Education and Experience
- Computer skills and knowledge of relevant software
- Knowledge of operation of standard office equipment.
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Knowledge of principles and practices of basic office management
- Ability to use spreadsheets is essential and knowledge of sage accounts would be desirable but not essential

Other Information
- The notice period for this post is one calendar month for both employee and employer
- The post is subject to a 6-month probation period
- Annual Leave entitlement is 20 days plus Bank Holidays
- Any overtime worked must be agreed with the Trustee Manager in Advance
- The post-holder is required to attend Trustees meetings when required and adjust the weekly hours worked to accommodate these meetings which are held once a month on either a Saturday morning or one evening in the week
- The post-holder is required to attend the Trust AGM and take minutes of said meeting
